Part-Time Administrative Assistant
SKOLNICK Architecture + Design Partnership, an award-winning design firm based in NYC and Sag Harbor, NY seeks to hire a part-time Administrative Assistant to work in our Sag Harbor office. The position requires a high degree of organization and flexibility, and candidates must have a driver’s license and their own vehicle. Other skills required include:
Total proficiency in Microsoft Office with an emphasis on Word, Outlook Calendar, and Excel
Self-motivated and able to follow through on a wide range of tasks given minimal direction
Professional, friendly, with good people skills
Effective communication skills (on phone, in person, and in written form)
Ability to multitask, prioritize assignments, and work efficiently
Thorough, accurate, meticulous, and detail-oriented
Seeks appropriate direction when required
Light book-keeping, strong math, and spreadsheet experience
This role will involve direct support of the principals of the firm and include tasks such as:
Organizing and updating principal’s schedule
Inputting principal timesheet records
Setting up and coordinating meetings / calling and confirming potential attendees
Sending out files for printing / retrieving prints from blueprint shop
Shipping and receiving of packages
Arranging receipt of material samples from vendors and sending to team members / clients
Performing reception tasks when clients arrive at the East End office for meetings
Arranging for lunch / coffee / snacks for meetings and cleaning up after meetings
Organizing receipts and expense reports and coordinating with the firm’s financial controller
Booking and arranging travel arrangements as needed
This will be a part-time position, with hours to be approximately 10 am to 2 pm, 4 – 5 days per week. Compensation to be in the range of $ 24.00 - $ 26.00 per hour depending on skills, work experience, and references. Potential for long-term employment and opportunity for growth. Interest in and familiarity with the world of architecture and design a plus.
Candidate should have at least 2 - 3 year’s work experience as an Administrative Assistant. A college degree in Business, Administration, or Communications is preferred.
